If the calendar is added but you are missing certain year groups you need to remove and re-add the assessment calendars. Please repeat step 1-5 but press 'remove' instead of 'add' at step 4. Restart your Outlook App then repeat the guide again to add the assessment calendars back.

Add as an additional Exchange mailbox

To add the shared mailbox to your outlook client, complete the following...


1. Open the Account Properties dialog:

  • "File > [Section] Info > Account Settings > Account Settings…"


2. Double click on your Exchange account address to open its properties.


3. Click on the button "More Settings…".

4. Select the Advanced tab then select the "Mailboxes" section, click on the button "Add…".

        Enter the following email address, "[email protected]".



5. Confirm all the open dialogs to return back to Outlook and restart the Outlook App


The mailbox should now be added to your Folder List, and all the year level assessment calendars should automatically be added to your default calendar group. If not, please restart your outlook client, confirm you have entered the address correctly and completed the steps above, then contact IT support.

If you need remove and re-add the assessment calendars repeat step 1-5 but press 'remove' instead of 'add'. Restart your Outlook App then repeat the guide again to add the assessment calendars back.

Note: You may notice the "Secondary Assessments Calendar" mailbox appear in the mail view. This is normal, and you should expect to see nothing appear when expanded.

Permissions

All teachers have limited access to the shared mailbox, and have been granted differing folder permissions, based on your position (Teacher, HOD, AP/DTL/DPC). To access the calendar you must add the shared mailbox to your outlook client manually.

  • Teachers can create, edit and delete their own calendar entries.

  • HODs can create, edit and delete both their own calendar entries, and calendar entries created by other staff (in the case where the HOD needs to amend the teachers entry).

  • AP/DTL/DPC can create, edit and delete both their own calendar entries, and edit calendar entries created by other staff. As the owners they also have the ability to create and modify the folders within the calendar folder.

Any changes made that are in breach of your assigned permissions will NOT be saved, even though there is no error message.

Creating an "Appointment" in the Assessments Calendars

  1. Select the appropriate year level assessment sub-calendar.

  2. Double click on any blank space on the calendar, or select "New Appointment" from the "Home" tab.

  3. Enter your title in the following format...

[SUBJECT] - [STAFF CODE] - [ASSESSMENT TYPE]

eg. "ENG - LAWD - In-Class Essay"

  1. Enter the correct start and end time for the affected periods. Digital assessment submissions can be marked as "All day".

  2. Copy your class list from SEQTA and paste into the body of the appointment, as only a few students may be affected. This is to allow other subjects to still have an assessment without breaching the maximum number of assessments.

NOTE: Consider reviewing the existing entries in the assessments calendar, and any other events that may have been scheduled in the "JSR Calendar" before finalising your "appointment". You can overlap any open calendars by selecting the arrows on the calendar tabs.
